Tax Forms Online!
Tax Forms are used after Year End to report various earnings and
wages to the government. Tax Form season at DacEasy Forms runs from
August 1 through February. We recommend that orders for tax forms
are placed as early as possible, as year end is a very busy time
for all of our departments.
Tax Forms supported by DacEasy Payroll include:
W-2 forms are a year end earnings and tax statement that must be
prepared for any employee not considered contract labor (i.e. any
employee that has federal or state income tax deducted from their
paycheck) Each form consists of an Employer set and an Employee
set, each with enough copies to file with necessary Federal,
State, and Local government offices as applicable. The number of
parts in each form will vary from 4 copies to 8 copies, depending
on the customers location. Here is a list of W-2
form requirements broken down by state. W-2 forms are available
in both Continuous and Laser Printer style. For the Continuous forms
in the 6 and 8 part sets, we offer the forms split into "Twin
Sets", where for example a customer using a 6 part form would
receive two sets of 3 part forms, consisting of all necessary copies.
We HIGHLY RECOMMEND that our customers purchase "TWIN
SETS" when possible, as they are much easier to run through
a standard impact printer than the thicker forms. Any customer using
"twin sets" would just have to run their W-2's twice.
NOTE: DacEasy only supports two formats for W-2 forms, which
is 2 per page and 4 per page, one on top of the other
The 1099-MISC form is a year end earnings statement issued to an
employee that receives compensation from which no tax has been taken
out. Earnings on this form would include any payment for contract
labor, or any other miscellaneous payment not reported on the employee's
W-2 form. 1099-MISC forms are available in both Continuous and Laser
Printer style, and all forms are 4 part.
NOTE: There are several different types of 1099 forms available
for specific reporting needs. The 1099-MISC form is the only one
that prints from the DacEasy Software.
W-3 's are the companion form to the W-2. Every company that issues
W-2's must file a W-3 form with the IRS. This form is a summary
transmittal of all the company's wage activity recorded on their
w-2's. Only one form needs to be filled out for each company. An
accountant processing payroll for multiple companies would need
a W-3 for each.
1096's are the companion transmittal summary for the 1099 forms.
Just like W-3 forms, Each company issuing 1099's
must file one 1096 with the IRS.
Tax Forms FAQ's
Who needs tax forms?
EVERYONE! Anyone who acts as an employer must submit tax forms
to the government and to his employees. The employee deadline
for distributing W-2's and 1099's is January 31st.
Do I have to purchase my Tax Forms from DacEasy?
No you don't. If you want to purchase from another supplier or
directly from the IRS you may do so. However, our tax forms are
the only ones GUARANTEED to be compatible with the DacEasy program.
Other forms suppliers may offer DacEasy compatible forms, but
we can't guarantee that they will work. If you customer purchase
non-compatible forms, you will have to print them with a typewriter.
If you are purchasing any form form your DacEasy program locally,
it is a good Idea to take samples of how the program prints the
form you are after, so you can check how they align with the new
forms.
When will I receive my forms?
7 to 10 business days from the date of order. When time is critical,
we also offer two-day and overnight shipping.
When must I file by magnetic media?
If you employ 250 or more people, you MUST file by magnetic media.
You will still have to print W-2 forms, but your federal information
will by filed by disk. DacEasy can generate this file if you are
on our most recent version.
How many forms should I order?
We generally recommend that you order about TWICE as many forms
as you have employees. This way you shouldn't get caught short
at the end of the year. For tax forms, it is always better to
have too many than not enough.
How do tax forms work with my laser printer?
All Laser Style Tax forms come divided by part. This means that
if a customer orders 100 6part Laser W-2's, they will receive
part one in a bundle, part 2 in a bundle...etc. You will have
to print the entire set of w-2's for each part you purchased.
(i.e. All of the W-2's on part one, then all of the W-2's on part
2, etc...)
Help! My 6 part continuous forms won't feed through my printer.
What now?
Manually separate (CAREFULLY!) the first three parts from
the last three, so you have 2 sets of forms. Run your W-2's twice.

Who do I call to order tax forms?
Tax Forms can be ordered from any of our Telephone Service departments:
DacEasy Forms, DacEasy Software Sales, and DacEasy Tech Support.
You can also make a request for an order via E-Mail, and a representative
will call you to confirm and finish the order.
Help! I need my forms in a real hurry! Can you rush them?
Yes. Shipping costs will be in a three-tiered structure.
- Standard is $10.50 for UPS ground (any quantity!)
- Tax Forms and Tax Update on same order ships for $15.50
- Rush is $25 for UPS Blue Label (second day air-2 business
days)
- Overnight ship is $60 for UPS Red Label (Overnight air delivery)
Processing the order will take one day, so for $50 the customer
would get their forms in 2 business days.
